As an Administrative Assistant, you will provide essential support to ensure smooth office and reception operation. At times, you will also support travel and meeting arrangements for senior executives.

Our client is a leading China headquartered asset management firm with stable business growth. It operates under regulatory licensing that allows it to manage assets and offer research‑driven strategies across equities and fixed income, serving a mix of institutional and private clients.

Job Description

  • Handle front‑of‑house responsibilities, including managing incoming calls, courier, welcoming guests and visitors and maintaining cleanliness of reception, meeting rooms and pantry area
  • Coordinate the scheduling and use of meeting rooms, ensuring smooth logistics such as video‑conference setup, refreshments, and upkeep of shared spaces
  • Assist with general office administration, including procurement of office supplies and pantry items, facilities maintenance support, contacting vendors etc.
  • Assist with company events and staff activities
  • Provide secretarial support to senior management when needed, including arranging business travel, booking flights and hotels, suggesting restaurant options
  • Perform other ad hoc duties as assigned

The Successful Applicant

  • 5 years of related experience in an administrative role within the financial services industry preferred
  • Proficient in both written and spoken Cantonese, Mandarin and English
  • Proficient in Chinese word processing, Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Attention to detail, flexible, willing to learn and a proactive approach to problem-solving
  • Strong organizational and multitasking skills
  • Ability to work effectively in a team-oriented environment
