Job Description

  • Providing administrative and secretarial support to the marketing team
  • Deliver comprehensive executive support, ensuring seamless coordination of schedules, priorities, and confidential matters for Marketing team.
  • Manage sensitive information with discretion, safeguarding organizational integrity and executive trust.
  • Oversee complex, multi‑time zone calendars, anticipating conflicts and proactively resolving scheduling challenges.
  • Coordinate high‑level meetings and committees, preparing marketing materials, and logistics with precision.
  • Arrange international and domestic travel, including visas, accommodations, and detailed itineraries.
  • Administer expense claims, invoices, and monthly reports, ensuring accuracy and compliance with firm policies.
  • Maintain structured filing systems, trackers, and databases to optimize team productivity and information flow.
  • Review and prioritize incoming communications, summarizing content and drafting responses independently.
  • Serve as a key liaison between executives, internal stakeholders, and external clients with professionalism.
  • Support investor and portfolio company meetings, tracking deliverables and ensuring timely follow‑up.
  • Coordinate logistics for board meetings, industry events, and client presentations, ensuring flawless execution.
  • Provide on‑site event support, managing vendors, guest registration, and venue arrangements.
  • Anticipate executive needs, exercise sound judgement, and adapt quickly in a fast‑paced environment.
  • Collaborate across teams, contributing to firm‑wide initiatives and special projects with commitment and integrity.

The Successful Applicant

  • 7+ years of executive assistant experience in high‑intensity financial and consulting environments.
  • Skilled in collaborating with global stakeholders across multiple regions and diverse time zones.
  • Exceptional written and verbal communication abilities in both English and Mandarin languages.
  • Strong organizational, interpersonal, and communication skills supporting executives and cross‑functional teams.
  • Demonstrated discretion, integrity, and attention to detail with superior time management capabilities.
  • Adept at synthesizing information, identifying patterns, and connecting organizational elements effectively.
  • Proficient in Microsoft Office Suite with advanced skills supporting executive productivity.
  • Professional, service‑oriented mindset with sound judgement, initiative, and ability to work independently under pressure.
